The checklist

Seven items. Five of them do themselves.

Opening a period lays out the standard close, seeded once, so coming back to the month never duplicates the work.

Press run and the automated items go in dependency order: schedules first, because everything downstream depends on them, each leaving a note explaining what it did. Depreciation posts. Accruals and prepaids advance and count down their remaining periods. Entries get reviewed.

When a client has no bank accounts, bank reconciliation is marked not applicable rather than done, a small distinction that matters enormously to whoever reviews this close six months from now.

The lock

Sign it once. It stays signed.

Before a period will close, eight checks have to pass. If one fails, you get the failing list rather than a warning you can click past, and the fix is usually one click away from the message.

A partner can still force it, because deadlines are real. Forcing takes an override and a written reason, both recorded against the period, so the next person to open that month knows it was forced and why.

Once closed, the period stops accepting entries at the ledger itself. Reopening is possible, and is recorded too.

Explaining the movement

The variance, and the entries that caused it.

Flux runs off the posted ledger, this period against the prior one, or against budget, and ranks the accounts by how far they moved.

Open one and the entries behind it are listed with vendor, date, amount and entry number, so “why is contractors up” is a click rather than an afternoon in the general ledger. Import batch noise is deliberately suppressed, so what you see is the transaction, not the file it arrived in.

Commentary is generated on request and labelled with its source. When the underlying numbers change, the explanation is marked stale, because commentary you cannot attribute is commentary you have to check again anyway.

Commentary

Explain

Net income improved $12,400 vs Jul 2026 on revenue up $30,000 (+7.8%) on two new logos, expenses up $17,600. Gross margin held at 64.1% (64.3% prior). Three accounts moved more than 10%: Recruiting $42,000 (new: Heidrick retainer, PO-1188, two instalments still to come), Contractors $8,200 (+41.3%, mostly Acme Consulting $6,900), Infrastructure $2,772 (+22.9%, the AWS step-up that renews 12 Apr).

TAI flagged one thing to ask about

Contractors has now exceeded budget for the third month. At this run rate the annual line overruns by $34,000, and a question is drafted for the client, due with the board pack.

Every figure in that paragraph traces to posted entries. If the ledger moves afterwards, the commentary is marked stale rather than left to quietly go wrong.

Traceability

Four clicks from a P&L line to the contract behind it.

Every account opens into the lines that touched it, grouped by counterparty and month. Every entry opens into where it came from: the invoice, the revenue plan, the credit memo, the schedule that generated it, the project it was tagged to.

Cash flow lines carry their contributing entries with them, so an indirect statement can be taken apart rather than taken on trust. Which is the difference between answering an auditor in an afternoon and answering them in a fortnight.
