The business feeds the ledger.
Most bad bookkeeping is not an accounting failure. It is an information failure. The person who knew what the expense was for never got asked. So ask them at the moment they spend.

Ask the person who knows.
Projects, spend and approvals are captured where the work happens, with the account, the department and the project attached by the person requesting them, not reconstructed six weeks later by someone reading a card statement.
Approving an expense produces a draft bill in accounts payable with that coding intact, waiting in the normal A/P queue. Finance reviews it like any other bill: no re-entry, no chasing the requester for what it was.
Two people approving the same request at the same moment cannot both succeed. The second sees that it has already been decided. Duplicate postings from a double-click are a category of problem that simply does not occur.

Money columns are not greyed out. They are absent.
Someone without finance visibility does not receive budget, cost or margin figures at all. The fields are omitted from the response, not hidden by the interface after the fact.
That difference matters: hidden-in-the-browser data is one developer tools panel away from being visible, which is not something you want to explain to a client whose staff can read their own project margins.
The same project, opened by an operations lead and by the CFO, is genuinely two different documents.
Same project, two viewers
ScopedA document arrives. The work assigns itself.
An offer letter comes in as text. The system classifies it, reads out the title, department, start date, units, vesting months and cliff, and stages the whole packet as pending. Nothing exists yet.
A person with the right role approves it, and that single decision creates the employee record, the onboarding project, the policy acknowledgements waiting to be signed, and dated tasks with real owners: the cap table entry for finance, the cliff vest for people ops.
Equity is gated to finance specifically. Approved by anyone else and the grant parks as a high-priority finance task rather than quietly landing on the cap table, because the person who approves a hire is not always the person who should be issuing shares.

Work, documents and decisions in one thread.
Projects carry their tasks, their people, their documents, their costs and their correspondence together, in list, board, calendar, table, matrix or timeline views depending on what you are trying to see.
Because it is the same system as the ledger, the question 'what did we actually spend on this' has an answer that agrees with the financial statements.

Stop reconstructing the business from its bank statement.
The coding arrives with the transaction, from the person who knew the answer, so the bill is already right when it reaches finance.
The close
Five of the seven standard close items run themselves. Statements that tie by construction, sign-offs on the record, and a lock that holds.
